REGISTRATION FOR ASI GENERAL ASSEMBLY 2022

Tuesday 5th and Wednesday 6th, July 2022, Nagoya (Japan) and on-line.

 

In fulfilling the requirement of Article 6 of the ASI bylaws and recognizing that many Covid-19 constraints will prevent some of ASI member presidents for travelling to Japan, we will run the GA as a hybrid format – in situ in Nagoya and virtually through an on-line link.

Following the GA, a social and cultural program is planned and included in the invitation. This program will be offered free of charge from Thursday 7th to Friday 8th 2022.

The Japan Sommelier Association (JSA) is looking forward to welcoming you all to Nagoya for ASI’s General Assembly!

Japan is in the process of gradually reopening its borders and is still only accepting people for business purposes on a conditional basis. UNFORTUNATELY, NO ACCOMPANYING PERSONS (such as spouses, significant others, family members) ARE ACCEPTED TO JOIN.

It is expected that these conditions will be relaxed from now until July, but please make every effort to meet the entry requirements in place at this time.

PLEASE READ CAREFULLY THE FOLLOWING INFORMATION TO AVOID DENIED BOARDING OR IMMIGRATION PROBLEMS.

* Please note that under no circumstances can the Japan Sommelier Association request special exemptions from the entry requirements set by the Japanese government.

Due to the current strict conditions for entry into Japan, the number of attendees to the General Assembly is in principle limited to one person from each national association.

If there is particular demand to have an additional board member from your association, an additional stay fee (120,000 yen. approximately 860 EUR / 930 USD) will be required.

FOR THOSE ATTENDING THE GA IN SITU: WHAT YOU NEED TO DO AND KNOW

VISA APPLICATION

THIS IS URGENT AND OF THE HIGHEST PRIORITY.

Currently, all foreign nationals are required to obtain a visa in order to enter the country.

IT IS HIGHLY RECOMMENDED THAT YOU FILL OUT NOW THE REGISTRATION FORM ON ASI WEBSITE (BELOW) EXACTLY AS IT APPEARS IN YOUR PASSPORT AND APPLY FOR A VISA IMMEDIATELY AT THE JAPANESE CONSULATE in your country, as it may take some time (up to 1 month) for the visa to be issued.

How to apply for a visa

1. If you wish to attend the GA in situ, you need to fill out as soon as possible the registration form on ASI website (below). (Identical information as in your passport)

2. Upon receipt of the registration forms, the Japan Sommelier Association registers your personal data exactly as received in the governmental system (called “ERFS System”) as a prospective visitor.

The Japan Sommelier Association will be responsible for visa application for the period between July 4 arrivals (June 30 for those who will go through 3-day quarantine) and July 7 departures (July 10 for those who will participate in the optional tour).

FOR the SCC members, July 6 arrivals (July 8 for those who will not participate in the optional tour) and July 11 departures (Those who go through 3-day quarantine need to arrive 4 days before the event).

3. Upon completion of the registration of personal data in the ERFS system, the Japan Sommelier Association downloads the “Certificate for Completion of Registration to the ERFS System” and send it to each of you.

4. You will need above mentioned certificate when you apply for your visa. For other required documents, please contact directly the Japanese consulate in your country.

 

VACCINES & QUARANTINE

IF you need to be quarantined at a facility designated by the Japanese Government, please follow the instructions at the airport.

IF you need to be quarantined at a facility designated by the Japan Sommelier Association, please purchase your air ticket to Tokyo (not to Nagoya). You will need to stay in a hotel in Tokyo. Then, you need to go to Nagoya by train on your expense.

Please be aware that during your quarantine period, you are not allowed to leave your hotel room.

PERMITTED COVID-19 VACCINATION CERTIFICATE BY JAPANESE GOVERNMENT

PLEASE CHECK CAREFULLY AS THERE IS A DIFFERENCE BETWEEN VACCINES PERMITTED UP TO THE SECOND DOSE AND THOSE PERMITTED AS A THIRD VACCINE.

COVID-19 vaccination certificates issued abroad which fulfill all the three requirements (1) – (3) below.

(1) All relevant items described below should be listed on the certificate either in Japanese or English:
Name, date of birth, product name or manufacturer of vaccines, vaccination date, number of COVID-19 vaccine doses (Note 1)

(Note 1) COVID-19 vaccination certificates written in languages other than Japanese or English are considered as valid if the translation (Japanese/English) is attached and all the items are clearly identifiable.

(2) The certificate should prove that at least two doses (As for Janssen COVID-19 Vaccine/ Janssen, one dose is treated as two doses) of any of the COVID-19 vaccines described in the table a. below are inoculated, and any of the COVID-19 vaccines described in the table b. below is inoculated for the third vaccination or after. (Note 2)

a. COVID-19 vaccines up to the second dose:

      • COMIRNATY, intramuscular injection / Pfizer
      • Vaxzevria, intramuscular injection / AstraZeneca (Note 3)
      • COVID-19 Vaccine Moderna, intramuscular injection / Moderna
      • Janssen COVID-19 Vaccine / Janssen
      • COVAXIN / Bharat Biotech
        Note : To be recognized as valid after 0:00 am (JST) April 10, 2022

(Note 2) Mix-and-match vaccines are also considered as valid.

(Note 3) In applying measures based on New Border Measures (27), COMIRNATY manufactured by Fosun Pharma / BioNTech and Covishield licensed by AstraZeneca and manufactured by the Serum Institute of India are treated as identical to COMIRNATY, Intramuscular injection / Pfizer and Vaxzevria, Intramuscular injection / AstraZeneca respectively.

b. COVID-19 vaccines for the third dose or after:

      • COMIRNATY, Intramuscular injection / Pfizer (Note 4)
      • COVID-19 Vaccine Moderna, Intramuscular injection / Moderna

(Note 4) In applying measures based on New border measures (27), COMIRNATY manufactured by Fosun Pharma / BioNTech is treated as identical to COMIRNATY, Intramuscular injection / Pfizer.

(3) The certificate should be issued by an official body, such as a government.

In case of last-minute changes of travel due to COVID-19 restrictions you will be able to change to online presence until the evening of July 4th no later than 18:00 JST.

The stay from Monday, July 4th to Thursday, July 7th, 2022 (3 nights) is included for each national president or his/her delegate.

Presence online at GA 2021

The GA 2022 will be transmitted in hybrid form, in situ and online.
You will have the possibility to participate in the meeting, to electronically raise your hand to speak and to vote online. Detailed technical instructions will be sent well in advance and a trial session will be offered approximately a week before the GA. Besides the President / official delegate, one additional member of the national Board will be allowed to join online – without speaking and voting rights.
